Dashboard description:

This dashboard aims to provide UCSF Health with information on COVID recovery by showing average daily volumes in select critical areas with comparisons to baseline volumes and targets.The current goal of our organization is to return to baseline average daily volumes from January-February 2020.

Data can be viewed in daily, weekly, or monthly aggregates selectable in the upper left corner 'Date Selection'. For parts of the organization where weekend volumes are much lower, if you switch to the daily view, weekdays may be higher than the baseline because baseline averages are calculated across all calendar days.The callout average value and comparison with baseline (arrow), for daily and weekly aggregates, are based on the last complete day or week. Months are measured to date. Weeks are based on calendar days (Sunday-Saturday).

Additional filters are available for individual areas and are co-located within their respective sections on the dashboard.

As of 8/11/20 ambulatory volumes data is being sourced from DART, replacing the Ambulatory COVID Data Mart from the Cancer Center. After this switch, econsults and test patient encounters are now excluded from the visit volumes data on this dashboard.

Default Settings

By default, the dashboard is configured to display data from all UCSF Health departments and campus locations, for all adult and pediatric populations. The baseline comparison period is defaulted to January-February 2020. The default data view is average daily volumes by week.

Attributions to "Adult' or 'Peds' are determined by the age of the patient or department in which they were seen. Pediatrics is inclusive of BCH-Oakland data. All data sources and metrics classify BCH-Oakland locations as pediatric. Further details about this attribution can be found under 'Key Definitions and Details' below.

The date range for the data on this dashboard is limited to March 1, 2020 through yesterday. However, the baseline comparsion data date range is from January and February 2020 or calendar year of 2019. *For BCH-Oakland data, March 1-14, 2020 is used as the baseline comparison data date range for transfers, procedures, and ambulatory visits

Dashboard data is updated daily and is refreshed between 5AM and 7AM.

Key Definitions and Details

Average Daily Census	The average number of inpatients for a specific period. For a period, it is the sum of all Census and one day stays for a period divided by the total number of days in the period. Census or Patient Day counts is defined as the Total number of Midnight Census counts, One Day Stays counts and Bedded OP counts	Includes all patients in current census status who have been assigned to bed at midnight. Includes Patient Class types of Inpatient and Surgery Admit, Observation, Outpatient Needing a Bed, Deceased Organ Donor and Outpatient Bedded Infusion. Also includes One Day Stays in Census calculation. Excludes Patient Class type of Newborn.
Average Daily Surgeries	The average number of surgical cases performed in OpTime from OR log excluding cancelled, voided, no show cases, ECT procedures, and Non-OR Anesthesia (NORA) by taking total cases divided by the number of days in the period selected.	Includes Inpatient, Newborn and Surgery Admit Patient Class. Excludes cancelled, voided, no show visits. Excludes OR logs with ECT procedure as it does not get charged to OR cost center. Pediatric includes patient at BCH-Oakland and any patient under 18 years old or with a completed case in the Mission Bay Pediatric OR. All others are attributed to adults.
Average ED Visits	The average number of Emergency Department Visits performed by taking total ED visits divided by the number of days in the period selected. Visits are counted once and based on last admission/registration location. Visits are classified as inpatient (IP) or outpatient (OP) based on last admission/registration location	Excludes ED dispositions of null value, LWBS before triage, and LWBS after triage. Includes cancelled status visits. Includes patients transferred from ED to IP departments and vice versa and are of any patient class code
Average Daily Transfers	The average number of Transfers completed by taking the total number of completed transfers divided by the number of days in the period selected.	Transfers are counted by hospital admission time, unless not available, then we use initial transfer request time. A transfer is considered completed by the presence of a request status equal to ‘completed’.
Average Daily Procedures	The average number of procedures completed or scheduled, by taking total number of procedure visits completed or scheduled divided by the number of days in the period selected.	Includes key areas of Infusion Center, Radiation Oncology and Radiology (including procedure modalities of CT, MRI, Nuclear Med and PET).
Average Daily Ambulatory Visits	The average number of daily ambulatory visit by taking the total number of ambulatory visits with a status of scheduled, arrived or completed or eConsults divided by the number of days in the period selected. Attributions of In-person, Remote and Future are provided. In general, future visits include those in the upcoming 2 weeks. Remote visits only include video visits and any scheduled telephone encounters that are “billable” and have a video visit type. All other visits are categorized as In-person.	Includes: Visits scheduled in Cadence system Excludes: Appointment Types - Physician US Quick Imaging, Physician FL Quick Imaging, UCSF RIS External Film General, US Thora Right Pul Perf, US Thoracic Pul Performed, US Thora Left Pul Perf, US Thora Bilat Pul Perf, POCUS OBGYN and POCUS ICU. Also excludes: Units or Depts - RAD Film Library; Proctor Micro Lab; Decision Supp MZ

Average Daily Census	BCH-Oakland Departments= Peds West Bay departments with a pediatric department type designation (per FINCLNMASTER) OR any patient under 18 years old at time of census are classified as Peds All other patients/departments are classified as Adult
Average Daily Surgeries	BCH-Oakland Departments = Peds MB OR Peds location or any patient under 18 years old at time of surgery are also Peds All others are classified as Adult Note that this a different definition from the UCSF Finance “Population” dimension
Average ED Visits	BCH-Oakland ED = Peds The remaining are classified based solely on age in which patients under 18 years old are classified as Peds All other patients/departments are classified as Adult Note that this a different definition from the UCSF Finance “Population” dimension
Average Daily Transfers	If a transfer goes through the Pediatric Access Center, the patient is classified as Peds. All others are classified as Adult.
Average Daily Procedures	BCH-Oakland ED = Peds All other patients are classified based solely on age where under 18 years old = Peds All others are classified as Adult
Average Daily Ambulatory Visits	BCH-Oakland ED = Peds All other patients are classified based solely on age where under 18 years old = Peds All others are classified as Adult
